What the Uploads tab is

Every invoice, certificate, estimate, scorecard, or email attachment that flows into Verinode lands as one row in a single table: the Uploads tab. It is the ledger behind everything else Verinode tells you. When a benchmark cites a vendor cost or a signal flags a slow-paying carrier, the document behind that number is sitting in this table, with its extraction quality, its dollar figure, and a full audit trail attached.

Uploads is the first of four tabs inside Vault, Verinode's home for everything about your own data: Uploads, Tracking, Lists, and Notifications. Vault does not create or manage your documents in the sense of a filing system you have to maintain, it reads what already flows in from your inbox, your uploads, and your connected tools, and turns each one into a structured, correctable row.

This section used to be called Invoices, then Documents. Both names now redirect straight to Vault, at /data. If you have an old bookmark to /invoices or /documents, it will land you in the same place described in this article.

Where to find it

Open Vault from the sidebar, under My Data (alongside Connect and Forms). The direct route is iq.verinode.ai/data.

Vault opens to a home view, not straight into the table. From there, three ways lead into Uploads:

  1. 1Click the Uploads tile in the Explore row. It shows your total document count and, underneath, whichever matters most right now: how many need review, how many are still pending, or simply "Documents Captured" if everything is clean.
  2. 2Click any tile in the Most recent row at the bottom of the Vault home. Each tile is one recent document; clicking it opens Uploads with that exact document pre-expanded to its extraction detail, so you land straight on the one you clicked instead of having to find it again in the table.
  3. 3Follow a link from elsewhere in Verinode. Some decisions and signals link a "view source document" action straight into this table with the relevant filter already applied.

Whichever way you arrive, you land in the same table described below.

The filter bar

Above the table sit three controls, in a single row:

  • Search box. Placeholder text reads "Search by vendor, carrier, job, or doc type…". Type any part of a vendor name, carrier name, job label, or document type and the table narrows to matches as you type. Search checks both the source name and the underlying document type.
  • Bucket dropdown. Every document is sorted into one of three buckets based on what it's linked to: Vendors, Clients (carriers and TPAs), or Jobs. The dropdown reads "All buckets (N)" by default, with the total count, and each option shows its own count, for example "Vendors (12)".
  • Type dropdown. Defaults to "All types". The list below it is not a fixed catalog, it is built from whatever document types actually exist in your uploads, so you only ever see types you actually have (invoice, estimate, certificate, and so on), each written in plain language rather than the raw underlying token.

All three filters combine. Narrowing by bucket and then searching within it works the same as searching first.

The document table

Once at least one document matches your filters, you see a table with these columns, left to right:

  • Checkbox. Selects the row for bulk actions (below). The header checkbox selects or clears every currently filtered row at once.
  • Source. The vendor, carrier, or job the document is linked to, as a clickable link back to that entity's own page (Vendors, Clients, or Jobs). Underneath the name, a small line names the bucket: Vendor, Client, or Job. If a document needed review to be assigned, an amber Needs review style badge sits next to the name, labeled "Assign vendor", "Assign carrier", or "Assign job" depending on what's missing. Clicking it opens the correction panel described below.
  • Type. The document type in a pill, humanized (an "invoice" reads Invoice, a "certificate" reads Certificate, and so on).
  • Amount. The extracted dollar figure, right-aligned. A dash shows where no amount was extracted or none applies.
  • Processed. The date Verinode finished processing the document.
  • Signals. How many of your intelligence signals this one document fed. A number in a copper pill links straight to Signals; a dash means this document hasn't produced a signal (yet, or by nature, some documents like a certificate never do).
  • Status. A colored label: green Processed, amber Pending, or red Failed. Next to it, when Verinode has an extraction receipt for the document, a percentage pill shows how complete the extraction was, colored green (80% and up), amber (40-79%), or rose (below 40%). Click the percentage to open the review panel underneath the row.
  • Row actions. Up to three small icons on the right: an eye to preview the original file, a pencil to edit the extracted fields, and a trash can to remove the document.

Reading the extraction percentage

Hover the percentage pill and Verinode tells you plainly what it means:

  • 80% and above: "We captured most of this document. Click to review."
  • 40-79%: "Some fields are missing. Click to review or correct."
  • Below 40%: "We struggled to read this document. Click to correct it."

Clicking it expands a review row directly under the document that lists, in plain language, what Verinode captured from that file. If some fields didn't come through cleanly, it says so and offers two next steps: Edit fields (opens the same inline edit panel described below) or Re-run extraction (asks Verinode to try the document again, useful after you've replaced or corrected the source file). If the document scored low but nothing outright failed, it reads "Verinode wasn't fully confident on this one. You can correct the fields directly, or re-run extraction."

Previewing the original file

Where Verinode has the original file on hand, the eye icon opens it in a new tab so you can compare the source against what was extracted. If a document doesn't carry a stored original (some system-generated or manually-entered records won't), the eye icon simply doesn't appear.

Editing extracted fields

Click the pencil to expand an inline edit form under the row, with six fields:

  • Document type, a dropdown of every document type Verinode recognizes (invoice, renewal notice, certificate, estimate, email, statement, assignment, payment notice, job export, carrier scorecard, incident report, other), each shown in plain language.
  • Total amount ($)
  • Period start and Period end (the billing or coverage period the document covers, where relevant)
  • Document date
  • Reference number (an invoice or claim number)

Click Save corrections, and the row confirms "Corrections saved." a moment later. Behind the scenes, Verinode also learns from your correction, feeding it back so future documents of the same kind extract more accurately, and, when the document is tied to a vendor invoice, re-syncs that vendor's relationship cost so the vendor's own page reflects the corrected figure.

Removing a document

Click the trash icon and the row expands to a confirmation: "Remove this document? This will also remove any signals sourced from it. This cannot be undone." Confirm with Remove, or back out with Cancel. Removing a document also purges the original uploaded file from Verinode's storage, not just the row, so this is a genuine deletion, not an archive.

Heads up

Deleting a document also deletes any signals that came from it, and cannot be undone. If a signal fed a benchmark or a decision you're relying on, confirm you don't need it before removing the source document.

Assigning a document that needs review

When Verinode extracts a document but can't confidently match it to an existing vendor, carrier, or job, it flags the row with a Needs review badge instead of guessing. Click the badge and a panel expands showing what the document actually said (for example, "Document says: ACME Restoration Supply"), a search box, and, once you pick a match, an Assign to [name] button.

Search results are grouped: Your vendors (or Your carriers) lists matches already in your own stack; Verinode catalog (or Carrier directory) lists matches from Verinode's reference data if you haven't dealt with this vendor or carrier before. For vendors and carriers, a Keep as new vendor / Keep as new carrier button lets you confirm the auto-created entity is correct as-is, rather than reassigning it. For jobs, you search by claim number or job category and assign directly, there's no "keep as new" option since a job needs a real match.

Once assigned, Verinode remembers the correction: the next document from that same source name auto-matches without asking again.

Bulk select and remove

Select multiple rows with the checkboxes (or the header checkbox to select every currently filtered row), and a floating bar appears at the bottom of the screen: "N documents selected", a Remove selected button, and a Clear button. Remove selected deletes every selected document (and any signals sourced from them) in one action. This is the fastest way to clean up a batch of duplicates or test uploads at once, use it carefully given deletion isn't reversible.

Empty states

Fewer than five documents on file. A prompt appears above the table: "Set up email forwarding: Auto-forward vendor invoices, COIs, and scorecards to your intelligence address. Takes 2 minutes." with a Set up button that opens Connect. This nudge disappears once you have five or more documents.

No documents match the current filters (or none exist yet). Instead of a blank table, Verinode shows what document intelligence looks like once data flows in: the heading "Your document intelligence builds as files flow in" (or a version tailored to what matters most to you, when Verinode has a read on your priorities), followed by a short list of what appears as documents land: automatic classification into invoices, certs, and scorecards; entity matching to the right vendor, job, or carrier; data extraction of amounts, dates, and terms; automatic signal detection; and a full audit trail on every document.

Best-practice example

Say a supplier invoice comes in by email forward and lands with a 55% extraction score and a Needs review badge, because Verinode couldn't confidently match "Acme Restor. Supply Inc" to your existing vendor. Click the badge, search "Acme," and Verinode surfaces your existing vendor "Acme Restoration Supply" under Your vendors. Assign it, and the alias is remembered for next time. Then click the 55% pill to see what didn't come through, likely the period dates or reference number, and use Edit fields to fill them in directly rather than waiting on a re-run. The vendor's cost history updates immediately, and the next invoice from that same sender needs no review at all.
