What this card shows

Every vendor you run through Verinode, software, equipment rental, restoration supply, disposal, whatever is in your stack, has one detail card. That card is where Verinode keeps the facts that turn a vendor from a name on a list into something you can actually manage: what you are paying, when the contract turns over, who inside your business owns the relationship, and who to call on the vendor's side. This article covers the first two sections of that card, The Contract and Renewal & People, field by field.

Verinode does not track this data on its own. The numbers on this card are the ones you enter, correct, and keep current. What Verinode adds is the peer read: once you have told it what you pay, it can tell you where that sits next to other operators running the same vendor, without ever naming who they are.

Where to find it

Open Vendors from the sidebar at iq.verinode.ai/vendors. Click any vendor tile to open its detail card. The card opens as a slide-over with a header (vendor logo, name, category, and four hero stats: Spend, Verinode Score, My Rating, Renews) and a row of section tabs beneath it. The two sections covered here sit first in that row:

  • The Contract
  • Renewal & People

Both are visible on every vendor card. They are not conditional on data existing, empty fields just show a dash until you fill them in.

Note

The hero's Renews stat is a live mirror of the renewal date you set in Renewal & People. If a renewal is inside the next 90 days, the stat shows the days remaining and turns amber; inside 30 days it turns red. Setting or changing the renewal date here updates that stat immediately.

The Contract

The Contract section holds the economic facts of the relationship: what you pay, how you pay it, how many seats you have, and what that works out to per seat. Every numeric field here is inline-editable, click the value and it turns into an input.

  1. 1Click directly on the value under any editable field (not the label). It becomes an input field with Cancel and Save buttons underneath.
  2. 2Type the new value. Press Enter to save, or Escape to cancel.
  3. 3Click Save (or press Enter). The card shows "Saving…" briefly, then the field returns to display mode with the new value.

Monthly cost. What you pay this vendor per month, in dollars. Click the value to edit it and type a whole-dollar number. Once saved, a hint appears beside the value showing it formatted as currency, for example "$450/mo". If no cost has ever been entered, the field just shows a dash.

Billing. How the vendor bills you. Click to edit and type one of: Monthly, Quarterly, Annual, One-time, or Per use. Verinode stores whatever you enter and displays it back title-cased if it does not match one of those five labels exactly.

Seats. How many licenses or user seats you are paying for under this contract. Only relevant for software vendors, click to edit and enter a whole number.

Cost per seat. Not editable, this one is calculated for you: monthly cost divided by seat count. It only shows a number once both Monthly cost and Seats are filled in and greater than zero. Until then it reads a dash. This is the field to watch when negotiating seat-based software, it is the number that actually compares across vendors of different sizes.

Spend vs peer operators on this vendor. A benchmark row that appears once you have a monthly cost entered and Verinode has enough peer operators running the same vendor to show a comparison without exposing anyone's individual numbers. It shows your monthly spend against the peer median as a small bar with a tick mark for the peer position, plus a delta line ("vs Peer") in dollars. Because a lower bill is the better outcome here, a delta below the peer median reads green; above it reads red. If there is not yet enough peer coverage on this specific vendor, or you have not entered a cost, the row simply does not render, there is no placeholder or locked-state teaser.

Tip

Cost per seat is often the more honest comparison than total monthly cost. Two operators paying the same $600/month for a software vendor can be in very different positions if one has 4 seats and the other has 12. Fill in Seats whenever a vendor is priced per user so the per-seat figure and the peer comparison both land on the number that actually matters.

Renewal & Internal Owner

This block sits directly under Renewal & People's header and pairs the date you need to act by with the person inside your business responsible for acting.

Renewal date. Click to edit, pick a date. Once set, the hint line under the value tells you exactly where you stand:

  • If the date is more than 90 days out, it just shows the formatted date (e.g. "Mar 15, 2027").
  • If it is 90 days out or closer, it shows the date plus a countdown: "Mar 15, 2027 · 42d remaining".
  • If the date has already passed, it shows the date plus "past due".

This is the single field that drives the Renews stat in the hero and the renewal facet in the vendor's health bar, so keeping it current keeps every other surface on this card honest.

Owner. A dropdown for assigning the person on your team who owns this vendor relationship, the one who fields the renewal conversation, signs off on the invoice, or gets looped in when something breaks. The dropdown lists:

  • Not assigned (shown as "Not assigned" flanked by dashes), the default when no one is set.
  • Every team member you have already added, by name.
  • Clear assignment (shown the same dash-flanked way), only appears once someone is assigned, to unassign in one click.
  • + Add new team member…, opens a small inline form (Name, required, and Role, optional, defaulting to "Team member" if left blank). Submitting Add + Assign creates the team member and assigns them to this vendor in the same action, no separate trip to a team settings page.

If a team member is ever removed from your roster after being assigned here, the dropdown still shows their name (marked "(current)") so the card never silently loses who was responsible, until you reassign it.

Vendor Contacts

Below the Renewal & Internal Owner fields sits a separate Contacts section, this is the people on the vendor's side, not your team. The section header reads "Contacts" alone when there are none, or "Contacts (N)" once you have added some.

Each contact is a row showing their name (with a small "Primary" label next to the one marked as such), and a subtitle line combining role, email, and phone, whichever of those three you filled in, separated by dots.

  1. 1Click the + Add contact row at the bottom of the list. It expands into an inline form with four fields: Name (required), Role / title, Email, Phone.
  2. 2Fill in what you have, name is the only required field.
  3. 3Click Add contact to save. Optionally click Make primary before or after saving to flag this person as the main point of contact.
  4. 4To edit an existing contact, click their row. The same form opens in place with Save, Cancel, Make primary (if not already primary), and Remove.

When there are no contacts yet, the Add row carries a hint under it: "Account manager, adjuster, or billing contact", a nudge toward the kind of person worth capturing here. Once you have at least one contact, that hint disappears and the row just reads "+ Add contact".

Tip

Add the account manager or rep you actually deal with, not just a generic support line. When a renewal is coming up or a Spend delta is running hot against peers, having a named contact on file means the next step (call them, negotiate, escalate) is one click away instead of a search through your inbox.

Peer comparisons: which operators you are compared against

The Spend row in The Contract, and the peer comparisons elsewhere on this vendor's card, run against a scope you control from the card's peer switcher: National, State, or Group (your franchise system or association, if you belong to one). State and Group only become available once the underlying data exists to support them:

  • State compares you against operators in your state. If unavailable, the card prompts: "Set your state in Settings → Profile to compare against operators in your region."
  • Group compares you against your franchise system or association peers. If unavailable: "Join a franchise system or association (RIA, KnowHow, etc.) to compare against your peers."

Verinode never sells this data to carriers, and it never shows you which specific operators sit behind a peer figure. The comparison is always an aggregate, that is what makes it safe for every contributing operator to share their real numbers, and what makes the number trustworthy when you read it.

Best-practice example

Say you just onboarded a new estimating software vendor. Open its card, go to The Contract, and click Monthly cost to enter $600, Billing to set Monthly, and Seats to enter 8. Cost per seat now reads $75/seat, and if enough peers on this vendor are in Verinode's data, the Spend row appears showing your $600 against the peer median with a delta. Switch to Renewal & People, set the Renewal date to the date on the contract you signed, the hint will start counting down once you are inside 90 days. Assign the office manager who handles the vendor relationship as Owner. Under Contacts, add the account rep's name and email from the welcome packet. From here forward, the hero's Renews stat, the health bar, and any decision Verinode surfaces about this vendor are all reading off fields you just filled in, current and correct.
