Recorders and notetakers that work with Verinode

The short answer

If it can email a transcript, it works with Verinode. There is nothing to install on your side, no account to link, and no integration that can break, because the transcript arrives the same way any other document does: as an email to your Verinode address.

That is the whole mechanism, and it is why this list is not really a list of supported tools. It is a list of the tools operators actually run, with the one setting each needs. Anything not named here works too, as long as it can put a transcript in an email.

Where to find it

Open Connect from the sidebar at iq.verinode.ai/connect and click the Voice card. The list sits under Works With Verinode, with your forwarding address printed beneath it and a copy button. The same list is on the Setup page of the contributor surface at /contribute/setup, because the people actually on the calls are usually your project managers and estimators rather than you.

Meeting notetakers

If someone on your team already runs a notetaker on calls and internal meetings, its transcripts can come in without anyone changing how they work.

The setting: turn on its emailed transcript or meeting notes and send them to your Verinode address. Set it once and every call after that arrives on its own.

Video calls

The meetings you already record in the platform itself, with no extra tool involved.

• Zoom, on cloud recording rather than local

• Microsoft Teams

The setting: turn on the transcript email that comes with cloud recording and point it at your Verinode address.

Field recorders

The small recorders crews carry or clip on for walk-throughs, homeowner conversations, and the calls that never happen at a desk. This is the part of the job that documents never capture, and for most operators it is the biggest gap.

• Plaud, which has an automation trigger that fires once a transcript and summary are ready
• Pocket, which has an automation trigger once a recording is processed
• Fieldy, whose automatic path is the least clear of the three; check its settings for an automatic send

The setting: most of these can email the finished transcript on their own once it is processed. If yours cannot, it will almost always have an automation trigger for a finished transcript that can send the email for you. Either way the rule lives in your account, not ours.

Why Verinode does not connect to these directly

This is the question we get from operators who expect a "real integration," so here is the honest answer.

If you forward the transcript, the recorder is your vendor. Verinode never contracts with them, never holds your login, and never appears in that data flow. If instead Verinode connected to each recorder through its API, that vendor would become Verinode's subprocessor holding raw audio of your jobsites and your customers, which means a data-processing agreement, a disclosure, and a retention arrangement for every vendor, forever.

So forwarding is not the cheap fallback. It is the version that lets us say yes to whatever your crews already carry, without adding a company to the list of people who touch your recordings.

What happens to a transcript once it arrives

The same thing regardless of which tool sent it. Verinode transcribes or reads it, matches it to the right job, and turns it into job updates, the follow-ups people promised on the call, and a running summary on the job it belongs to. Names, addresses, and phone numbers in a transcript are masked before any AI model reads it, and the stored transcript is encrypted under your own account key. Individual people are never included in any peer benchmark. See Privacy and trust on Connect for the full posture.

Consent stays with you

Verinode does not decide whether a call may be recorded, and does not track which rule applies where you work. Some places require only one party to agree; others require everyone on the call. That decision, and the script your team uses to get it, is yours, exactly as it would be with any recorder you bought on your own. Verinode reads what your tools produce; it does not own the moment of capture.

Best-practice example

An operator gives their two project managers a field recorder each and sets its automatic transcript email to the company's Verinode address. Nobody changes anything else about how they work. Over the next month, the walk-through conversations that used to live only in someone's memory start showing up as job updates, and twice the running summary catches a delivery date a subcontractor promised out loud on site. The estimator, who runs Fireflies for adjuster calls, does nothing at all: that transcript email was already pointed at the same address, and it arrives on the same rail.
